OWA screen shot

The image above is an example of the OWA interface. Just to get you moving through this, notice your folders are still on the left. Whatever folder from the left you have clicked on will display in the center. And whatever you click on in the center will display on the right (this right pane is called the reading pane). Double clicking on a message will still open a window for viewing.

This area is like the menu bar and generally has the icons that would be accessible from the top of the window in Outlook.

The top row is informational. I am showing that I'm in the folder Inbox, there are 56 items in my inbox, and looking at one of the first 25. The buttons on the right are navigational: go to the first message, back, forward, and go to the last message. From left to right on the bottom row, you will find a link to the folders you have created, a refresh button, and a show/hide folder button, The New button changes based on the folder you are in. Right now it shows the new mail icon. The black triangle beside it allows you to choose from other options like new meeting, new task, new contact, etc. The next icon is the Move/Copy icon, then delete, reply, reply all, and forward. Next is the reading pane toggle (you can choose to hide the reading pane so that you will have to double click to display the text of the message. The black triangle next to the reading pane toggle lets you choose on which side of the screen the reading pane is displayed. Next is the check for new mail icon, the find icon, and the address book icon. This address book not only has all the CCSNH users, but you can choose to display your contacts in this format by changing the look in field at the top of the newly opened window. The last two buttons are the help and the log off icon.

Click on the icon New to start a new message:

This should look very similar to how you are used to seeing it, with the send button in the top left corner. One major improvement is that now you can format text! Almost all the formatting features available in a regular email application are available here including font sizes, colors and line justification. The toolbar should be familiar to you from other word processing applications. Spell check is available, but you have to turn it on. Please see the list of other features below for instructions. Finally, please know that when you use your mouse to point to an icon, and just leave it there, a pop up box appears with the text about what that icon does. It can be very useful as you are learning your way around.

When you are finished, please be sure to log off of the email system, instead of just closing the browser. The log off button is located in the top right portion of the main screen: owas log ogg screen shot

OWA - New Features

If you click on the Options link on the left side of your screen, you can manipulate a lot more of your options. The Out of Office Assistant is first, and this works much the same as it did before. Next is the Messaging Options. This will help you setup how your Inbox looks.

If you wanted a signature (text automatically appended to your message usually enumerating your title, organization and contact information) this is where you would go to add it.

Next is the reading pane options. When you are looking at your inbox, the pane to the far right is called the reading pane. Here you can choose how it handles new messages (those that are bold are considered unread/new).

Finally, you have a spell checker that you can enable over the internet! It is not on by default, so you need to go to this menu to enable it as shown below:

The last option I wanted to point out is the Junk Mail Filter. After you enable the filter, you will need to setup rules. This can be based on words in the subject or the sender's address. I caution you to be careful that you are not too restrictive, or all email will be delivered to the trash, and you will think it is not working. Start very specific with your rules so you can be sure it is working as you specify.

Another type of filter is Rules. Rules allow you to specify how messages that meet certain conditions are handled.

OWA Message Rules

Message rules allow you to manage messages with a specific quality. For example, move all message from Team Members to my important folder.

From OWA, click on the Rules button in the pane on the left: owa rules button image

(These instructions only work on a PC. Mac users will need to use the full Outlook client to establish rules.)

On the top of the pane to the right, click on New... to add a rule.

owa rules dialog box

The window below will appear:

Fill in the rule name (Example, Team Members email). For this example, we will want to fill in the From field contains box, and type in the email address. You can also browse to their email using the address book icon to the right. If you leave the next group of fields blank, it will manipulate all email from the address, or you can fill it in accordingly. Next you leave the radio button next to Move it to the specified folder, and click on "specified". Your list of folders will appear and you choose where you want it.

When you are finished, go back to the top of that window, and choose owa rules button image
